Second Online Consortium Meeting
16th May, 2024
On May 16, 2024, took place the second consortium meeting of ERASMUS + Open Asia Project (Reference No 101128493) consortium, coordinated by Ms. Meena Saxena from NMIMS and co-coordinated by Dr. Olesea Sirbu EDPRI. The consortium meeting was organised in an online mode via Microsoft Teams. The project partners present at the meeting were – NMIMS, TIET, UM, UNIMAS, UMS, TAU, EDPRI, ISSBS, VU.
During the consortium meeting the project co-coordinator Dr. Olesea Sirbu lead the meeting and spoke on various aspects as planned in the agenda. The important discussion points are as follows:
Project’s Operational plan & Project TO DO List
- A detailed Project Operational Plan which included monthly tasks (May 2024 – September 2024) was presented during the meeting. An updated Work Packages document with various deadlines for the responsible partner was explained.
- To Do List: UM requested a letter stating their role as the National Coordinator of Malaysia.
- Action Point: Each PCHEI to receive Project Operational plan and work packages to be sent to all partners by 20th May
TRELLO management platform:
- The new platform TRELLO was introduced to all partners. Olesea demonstrated the functionality and use of the platform at various stages of the project. The challenges of the platform i.e., Limited access to only with 10 members was informed during the meeting.
- Action Point: the lead coordinator of each PCHEI will get access of the TRELLO platform by 30th May
Project’s budget:
- An overview of the project budget and financial management was presented. The dos and don’ts of the budget were explained:
- No travel costs can be transferred to staff costs without prior consultation with Dr. Olesea.
- Action Points: Dr. Olesea, in discussion with Ms. Meena Saxena, will prepare a document about the inter-usage of budget within project funds.
- A timesheet template will be shared by Dr. Olesea.
- Olesea will address Ms. Saxena’s query regarding the budget of 3 utilized for the travel of 2 people due to increased flight or accommodation prices.
Study Visit to P3-VU, Netherlands
- The VU Amsterdam representator Dr. Sarju shared an overview of the study visit.
- A total of 17 participants representing each partner countries have confirmed their participation for
- The Workshop will have speakers from various European countries i.e., Germany, Spain and the Czech Republic and will share their experience in field of Open Science.
- Action Point: A detailed schedule will be soon shared to each participant by representative of VU Amsterdam.
Dissemination:
- Discussion regarding various dissemination deliverables took place as follows:
- Social Media: A single Open Asia LinkedIn Page to be maintained by both the Partners (India and Malaysia) instead of a separate page for each country.
- Action Point: The University of Malaya, together with NMIMS University, will compile the details of the deliverables along with timelines and share them with the partners.
- All partners are required to set up an Institutional Open Asia project webpage by 30th The format is available in the project handbook.
Quality Assurance:
- Olesea will oversee this group, led by the University of Malaya.
- Each partner is to appoint a representative for the Quality Assurance group by 25th May
- A meeting is to be called by [TBD].
